A Swiss VAT Return Checklist for Small Businesses

Start With a Clean Period

Prepare the VAT return as part of a period close, not as a last-minute portal task. Confirm the reporting period, accounting method and business deadline.

Reconcile issued invoices, credit notes and the sales ledger. Investigate missing numbers, cancellations and entries in the wrong period. Use bank receipts as a sense-check, but apply your selected VAT accounting method rather than assuming cash received equals turnover to report.

Gather supplier invoices, expense records and import documents for the period. Match purchases to the ledger and confirm their business purpose. A bank or card transaction alone may not contain the detail needed to support an input-tax entry.

List unresolved items instead of forcing a balance: a late credit note, unclear supply classification or missing customs evidence can change the return. Resolve each before filing, or ask your fiduciary or the Federal Tax Administration (FTA) when the treatment is uncertain.

Check Output Tax and Input Tax

Review sales by the VAT treatment that applies to each supply. Separate taxable turnover from exempt, zero-rated or out-of-scope items where relevant, and verify the rate instead of copying an old invoice. A customer’s location alone does not settle every VAT question.

Compare output tax on sales with your accounting records. Link discounts, cancellations and credit notes to the original transaction, then check they reduce turnover only once. If a credit note arrives after filing, flag it for the correct reporting or correction process.

Match input tax claimed to the supplier document and business purchase in your books. Keep private, mixed-purpose or uncertain items out until you confirm their treatment. For partly private or unusual purchases, seek advice rather than applying an unsupported percentage.

Compare the net tax figure with your VAT control accounts and period summary. Trace differences to timing, rounding, credit notes or import documents. Do not post a balancing entry just to make figures agree; record the reason and retain evidence.

File Through the FTA Portal

Submit using “VAT return pro” in the FTA Portal. The FTA says VAT declarations are now submitted exclusively through this service; “VAT return easy” has been discontinued.[1] Log in early to resolve access or authorisation problems before the deadline.

Enter figures only after closing the period. Confirm the return period and that sales, tax due, deductible input tax and adjustments agree with your reconciliation. If you use a simplified or net-tax method, follow the method authorised for your business; do not mix methods.

Before submission, compare the portal summary with your signed-off working sheet and review validation messages. Check that tax payable or the credit balance is plausible. A large change from the prior return may be right, but record its explanation before sending.

Save the submitted return and confirmation alongside invoices, ledger extracts and reconciliation. Record the filing date, reference and payment deadline. The FTA Portal provides access to VAT returns and related documents, but keep a copy in your own accounting archive too.[1]

Pay, Reconcile and Keep the Trail

The FTA says the return must be submitted and paid within 60 days after the reporting period ends, without prior request.[2] Put the due date on your cash-flow calendar and reserve the expected amount rather than treating collected VAT as available working capital.

Check the payment slip instead of reusing saved bank instructions. FTA payment details now use an international IBAN and SCOR reference, not the previous QR-IBAN and QR reference; use the details on the slip.[2] This is separate from a QR-bill you issue to customers.

If you discover an error, preserve the original filing and document the change. The FTA says a correction statement is used for corrections to individual monthly, quarterly or half-yearly statements during the tax period.[3] Ask the FTA or your fiduciary about cases outside that process.

Match the payment or refund to your bank statement and FTA account before closing the period. Keep the return, payment evidence and working papers together so an annual reconciliation can be traced to source records.
