Honorarnote in Switzerland: What a Fee Invoice Should Include
In Switzerland, an Honorarnote is a fee invoice for services—not a separate legal shortcut. A clear document helps your client approve the work, pay on time and keep a reliable record of the transaction.
What an Honorarnote Means
An Honorarnote describes the purpose of the document: a professional fee charged for work delivered. Consultants, designers, translators and other service providers may use the label, but the note still needs to explain what the client is paying for.
Swiss VAT law treats an invoice as any document settling payment for a supply, regardless of the title used in business. Calling it a fee note therefore does not remove ordinary invoicing or tax duties under the Federal VAT Act.
Use the note for an agreed service or project milestone, not as a substitute for a written scope. Your offer or contract should establish the rate, deliverables, expenses and payment terms before the work begins.
For one-off and recurring assignments alike, keep the same clear format. Change the line items to match the work: a fixed project fee, a consulting session, a translation, or a monthly retainer should be identifiable at a glance.
The Details to Put on It
Include your full name or business name and address, the client’s name and address, the issue date, and a unique invoice number or reference. These basics help both sides identify the transaction and file it correctly.
Describe the service specifically and state when it was delivered. For time-based work, show the relevant hours or days, agreed rate and subtotal; for a fixed fee, name the project or milestone rather than writing only “services”.
Show the amount due and currency clearly, usually CHF for a Swiss client. If you bill agreed expenses separately, label them apart from your fee and keep the supporting receipts in your records.
Add a payment deadline and clear payment details. You can attach a Swiss QR-bill payment part to make e-banking easier, but the QR part does not replace the fee note’s description of the work or total amount.
Keep MWST Treatment Clear
Check your VAT status before sending the document. The Federal Tax Administration says businesses with annual turnover below CHF 100,000 from taxable or zero-rated supplies are generally exempt, unless they waive the exemption and register voluntarily; see its VAT-liability guidance.
If you are not entered in the VAT register, do not show a VAT rate, VAT amount or VAT number on the Honorarnote. Article 27 of the Federal VAT Act prohibits unauthorised VAT details, and a tax amount shown without entitlement can become payable.
If you are registered, use your UID with the MWST suffix and show the applicable rate and tax amount. Where your stated total already includes tax, the Act allows the applicable rate to be indicated instead of a separate tax amount.
A short note that no MWST is charged can help a client understand the total, but it is not a substitute for checking your status. If turnover or the type of service makes the position unclear, confirm the treatment with the ESTV or your fiduciary.
Make Approval and Payment Easy
Agree the assignment before starting: identify the client contact, scope, rate, expenses and due date in writing. When you issue the Honorarnote, refer back to the offer, contract or purchase-order number so the client can match it to their approval.
Keep line items readable and avoid unexplained lump sums. If a project covers several dates or phases, group the work by period or milestone, and distinguish any approved travel or materials from professional fees.
Use consistent payment instructions on every note, including the account details and agreed deadline. A QR-bill can reduce manual entry for the payer; check that the amount and payment reference match the amount shown on the Honorarnote.
Save the sent note, the agreement and any expense evidence together, then mark the receivable as paid when the money arrives. A small, consistent process makes year-end bookkeeping easier and gives you a clear trail if a client asks about a charge.
