Matching incoming payments to invoices is tedious — unless you use a structured reference. Then the bank and your software do the matching automatically.
The three reference types
The QR reference (27 digits) needs a QR-IBAN and is the most fully automated option for Swiss payments. It validates the payment end to end.
The creditor reference (RF…, ISO 11649) works on a standard IBAN. It also enables automatic matching without a special bank product.
Free text references are whatever the payer types by hand. They arrive inconsistent, misspelled or missing, and require manual matching.
Only the first two enable automatic, exact matching. The difference between them is mainly which bank account you can use.

Why structured references win
A structured reference travels with the payment and is validated by the bank, so it arrives back exactly as sent. Your system matches it to the invoice without any human reading.
The reference contains a check digit that catches typos at the point of payment. An incorrect reference is rejected before it causes a mismatch.
Because the reference is unique per invoice, there is no ambiguity about which invoice a payment belongs to. Each payment maps to exactly one invoice.
This removes the most time-consuming part of bookkeeping: reading bank lines and guessing which invoice they relate to.

How matching works
When a customer pays, the reference number comes back with the payment in your bank statement. Your software reads it and finds the matching open invoice.
The software then marks the invoice as paid and records the payment automatically. No manual entry is needed for a clean match.
Partial payments and overpayments are also handled by the reference, since the software knows exactly which invoice is involved.
The result is a self-reconciling system. Your books stay accurate with almost no data-entry effort on payments.
